Director of Operations - Tacoma Trauma Trust


Daily Schedule-Days
Scheduled Hours per 2-week Pay Period-80
Weekends Required -Occasional

The Director of Operations (DOO) is responsible for efficiently managing day-to-day operations for Trauma Trust, a non-profit healthcare organization.  This position is a key member of Trauma Trust (TT) leadership team and requires extensive internal and external contacts.  The incumbent provides direction for staff, will be flexible, diligent and a quick learner who is organized, detail-oriented and able to work independently and prioritize deliverables.  Overall, this position is responsible for all aspects of the following areas including: general accounting (including a financial audit), financial analysis & budgeting, payroll, administration and human resources.     
General Accounting
  • Complete all routine accounting duties including payables, receivables, general ledger, month-end close, etc.
  • Ensure that all accounting policies and procedures are followed consistently.
  • Maintain accurate and complete accrual-based financial statements that are in compliance with GAAP.
  • Prepare monthly financial package with variance analysis compared to budget.
  • Manage all aspects of the annual financial statement audit, preparation of all audit schedules and responding to audit inquiries.
  • Coordinate the annual federal tax filings (and/or extensions) with the CPA firm.
  • Coordinate accounting statement / information with MHS / FHS accounting departments.
Financial Analysis & Budgeting
  • Prepare budget and long-range financial forecast.
  • Develop financial models, as needed, to analyze business activity.
  • Track and report on key performance measures, appropriately identifying any areas of concern.
  • Produce a monthly budget update.
  • Prepare bi-weekly payroll processing with external vendor. 
  • Ensure that all "taxable" benefits are communicated to the payroll processor.
  • Review payroll reports to ensure that all components have been executed accurately.
  • Record payroll transactions in the general ledger.
  • Works closely with Medical Director and Health System’s Leadership- Finance/Business.
  • Coordinate annual insurance renewal process with the insurance brokers.
  • Prepare and submit all necessary external filings, surveys, etc. by due dates.
  • Direct the operations and communications of the business.
  • Oversee and understand the operational component associated with budget management.
  • Oversee contract renewals of clinical staff and compensation evaluation in conjunction with Medical Director and Health System’s Leadership.
Human Resources
  • Monitor compliance with labor laws.
  • Maintain employee handbook and monitor compliance.
  • Manage and administer benefit / insurance and associated reimbursements.
  • Maintain employee records.
  • Develop additional policies as needed and communicate and enforce the policies amongst the staff.
  • Oversee / manage PTO / EIB usage for Midlevel and Administrative staff.
  • Responsible to coordinate employee performance management / evaluations for clinical staff and prepare and give employee performance management evaluations for administrative staff.

Education and Experience Requirements:
  1. Master’s degree Management, Business, Healthcare or Accounting - CPA. A Bachelor’s degree with 10+ years of relevant experience may be substituted for master’s degree.
  2. Minimum of six years experience in physician practice management, clinical operations, office management or in progressively more responsible leadership/management roles
  3. Strategic, business and program development experience
  4. Demonstrated track record and successful ability to work with physicians and physician groups in a collaborative manner
  5. Knowledge: QuickBooks, Intermediate Excel knowledge, Microsoft Office
